Client Overview

Our client offers quality rewinding & repair of electric motors, generators & transformers, sale of new motors, manufacture of carbon brushes, condition monitoring and is the only fully accredited Bitzer repair Centre for Refrigeration Compressors in Kenya. They are urgently seeking to hire an Office Administrator/Stock Controller. The ideal candidate must be well proficient in QuickBooks and available immediately.

Job Brief:

To oversee most day-to-day office-related tasks pertaining to the business activities of our ‘Compressor Division’’.  Including to assist with non-day-to-day activities such as preparing bulk stock-orders and other stock control related tasks.

Key Responsibilities:

  • Handle incoming customer RFQs by both telephone & email
  • Prepare and send quotations to clients for:
    • ‘Loose’ goods (from stock sales)
    • ‘Loose’ goods (non-stock sales)
    • Repair quotations which involve technical report writing and liaison with workshop team

 

  • Follow up with perspective clients for items quoted
  • Book ‘goods outwards’ as required to;
    • Either directly to clients when sold or;
    • To the company in-house workshop
  • Maintain stock database & oversee monthly stock take
  • Prepare purchase order requests (to the company internal logistics office)
    • Infrequent large orders (stockholding)
    • For non-stocked items sold individually
  • Recommend technical solutions
  • Forecast supply and demand to prevent overstocking and running out-of-stock
  • Place orders to replenish merchandise as needed
  • Oversee storage of products
  • Supervise loaders
  • Coordinate regular inventory audits
  • Keep updated inventory records
  • Organizing end month full stock count
  • Monitoring procurement process and LPO
  • Reconcile stock counts to report data.
  • Providing daily, weekly and monthly reports to the management on stores status.

 

Qualifications & Key Skills:

  • Degree in Procurement or business-related field.
  • At least 3 years of experience in Inventory control
  • Excellent QuickBooks knowledge, primarily related to stock control and preparation of estimates.
  • Confidence to speak with clients
  • Stock-control knowledge
  • Good general IT skills
    • Microsoft based systems
    • Excellent knowledge of Microsoft Excel
  • Highly organized
  • Detail Oriented/Attention to details
  • Ability to Multitask
  • Ability to take-on and accept responsibility
  • Ability to learn and understand the company compressor division product range.
  • Experience from a Technical/Engineering background is an added advantage.
